With booking proposals, an attendee doesn’t book a single slot. They pick several times that work for them and send them to you as a request. You then confirm one of those times, or decline the request.
This is useful when you want to keep control of your calendar but don’t want people to go back and forth over email to find a time.
Turn on booking proposals
Open the Link
Go to Links and open the Link you want to change.
Open the Confirmation tab
Select Confirmation and turn on Let attendees propose multiple times.
Choose how many times
Set Number of times attendees propose, from 1 to 10.
Booking proposals aren’t available on seated, recurring or paid Links. On those Links the setting is turned off, and hovering over it explains why.
What attendees see
The booking page asks attendees to pick the number of times you chose, for example “Select 3 times to request”. A counter shows how many they’ve picked so far.
When they’re done, they fill in the booking form and click Request times. They see a confirmation that their requested times were sent, and they get a “Booking request sent” email. Once you confirm a time, they get the usual booking confirmation.
Confirm or decline a request
When someone sends you a request, you get an email with the subject “Choose a time: (Link name)”. It lists the proposed times.
- Open the email and click the time that works best for you.
- Confirm it. The time becomes a regular booking: it’s added to your calendar and the attendee is notified.
You don’t need to be signed in to confirm from the email.
To decline, choose Reject all proposed times. You can add a reason of up to 1,000 characters. The attendee gets an email telling them the request was declined.
Things to know:
- A request expires after 48 hours, or when the last proposed time has passed if that’s sooner. After that it can’t be confirmed.
- If one of the proposed times was booked by someone else in the meantime, you’re told it’s no longer available. Pick another one.
- A request isn’t a booking until you confirm a time.
Team Links
On round-robin Links, each proposed time belongs to the host who would take it. Each host’s email only lists their own times, so nobody can confirm a meeting onto a colleague’s calendar. Hosts who join every booking see all of the proposed times.
Declining a request declines it for every host.
Hold the proposed times
By default, proposed times stay open to other bookers until you confirm one. To hold them while you decide, turn on Requires confirmation and Unconfirmed bookings still block calendar slots on the same Link. When a request is confirmed, declined or expires, the held times are released.
Turn off the request emails
If you’re in an organization and don’t want the “Choose a time” email, turn on Disable booking proposal emails to hosts on the Confirmation tab. Other host emails, such as confirmation requests, confirmations, reminders and cancellations, are still sent. This setting is only available on organization Links.
