To help you achieve this, we've tucked a whole host of useful features within our product. You've probably already noticed and taken advantage of many of them, like our booking limits, availability schedules, and routing forms. However, one of the less well-known yet still impactful features is called Date Overrides, and that's what we're going to talk about today.
Our Date Overrides option is a simple, intuitive feature that packs a punch. It allows you to specify specific days and times when your availability might be different from usual. This feature works to complement your Cal.com availability schedules, as well as your synced calendar availability. This setting is especially useful for people using Cal.com's team plan or enterprise offerings.
The ability to add custom Date Overrides within Cal.com helps protect your time and reduce the likelihood of miscommunications. For example, let's say you're part of an organization that uses Cal.com's round-robin scheduling capabilities. You may be unavailable for a specific appointment type on the upcoming Wednesday because you're waiting for the renewal of a certification, a license, or an upgrade related to tools used for work.
Now, this doesn't mean you're unavailable for all bookings, just specific ones for a couple of hours or a day while you're waiting for ink to dry or a computer to be reauthorized. In this case, you would log into your account and select the availability schedule that's been impacted. From here, you can input the specific number of hours on a particular day that you wouldn't be available in the same way as usual. Once you save that Date Override, it will update all events that pull from that specific availability schedule. This means that if any last-minute bookings were assigned to the team using round-robin scheduling during the period of your Date Override, the system would know not to add them to your docket.
Log into your Cal.com account.
Click on the Availability tab.
Select the availability schedule you want to edit.
Scroll down to Date Overrides.
Click the "Add an Override" button.
A pop-up window will now appear with a calendar.
Select the date to add an override to.
Input when the override applies to or activate the "Unavailable All Day" toggle.
Next, click "Add Override."
Finally, select the "Save" button in the upper right-hand corner.
