Cal.com Features You Didn’t Know You Needed: 3 Tips to Boost Productivity

Who doesn't love saving time?

Cal.com is more than just an appointment booking solution. We're a platform that saves time by simplifying how people communicate around it. Using our booking links takes the complexity out of meeting coordination. This makes it easy to brainstorm, connect, and collaborate with the right people about the things that matter.

There isn't a single calendar scheduling product that offers the comprehensive features of Cal.com at our price points. The majority of the Cal.com experience can be enjoyed for free. This includes things like paid bookings, analytics, website integration, and much more.

Our product is easy to use, minimalistic, and customizable; however, we also know it can take a little bit of time to master everything.

In this article, we're going to share three tips you can use to take your calendar scheduling to the next level.

One: Embeds are for more than just websites.

Cal.com offers all users access to customizable embeds. People typically use this to add booking functions to their websites. This might be as a floating button, a pop-up, or an inline embed that turns any webpage into a booking portal. However, we actually have a fourth, less-used option built for email.

Here's how email embeds work: Let’s say you want to offer someone the opportunity to book an appointment with you, but you're not sure what to say. Just go to your event dashboard, click the three buttons to the left side of that event, click embed, and then choose the email embed option.

This is going to auto-generate a message with possible booking times that you can customize. You'll be able to paste this code directly into your email, and the times themselves will be bookable links.

This is a tool that can take the awkwardness out of introducing friends, family members, and colleagues to booking links if they've never used them with you before. It's simple, it's easy, and best of all, it saves time.

Two: Try booking limits, because boundaries are important.

You've probably noticed that a label marked limits in your event-level settings. It has a lot of options within it, but one of the most useful ones is called limit booking frequency. The nice thing about this setting is it lets you offer maximum availability without risking overbooking.

Here's how it works: you could offer appointments on a 15-minute basis. This means that instead of offering eight time slots a day, if you're working an eight-hour day, you could offer up to 32 time slots.

Here's the thing, though: you're definitely not available for 32 meetings in a single day. Let's be honest—even ten is pushing it. Once you've activated limit booking frequency, you can specify how many meetings a day you're available for.

So this means that you could say you're available for six meetings a day or seven meetings a day. Using this option is a great way to offer unprecedented flexibility for the booker, outshine your competitors, while still protecting your work-life balance.

Three: Use QR booking codes, because sometimes it's simpler to scan.

People use Cal.com for all sorts of different types of meetings; many of them are offline. You can use Cal.com to arrange a game night or court time with your friends. You can also use Cal.com when networking at conventions and conferences.

The question, though, is how are you going to share your booking link in person? It would be kind of odd to send an email, wouldn't it? Well, instead of having to have an awkward conversation that goes this way and that, you could just use a scannable QR code.

This is a feature that's available for free to every Cal.com client and only takes a moment to enable. All you have to do is install our QR code app—it's available for free in the app store—and once that's done, you can enable it within your event-level settings. After the app has been enabled, it will generate QR codes that you can download and either save on your phone or add to printed media like a postcard or business card.

Once you have your booking QR code, you don't have to engage in a weird conversation about booking links. Instead, you can just show the code, ask them to scan it, and they can book you or save the link for later.

In addition to using your QR code in person at events, you can also add it to invitations and use it in combination with our group event options as part of the RSVP process.

This is just one of many ways that Cal.com makes it easier to coordinate communication.

I hope that these tips have made a difference and that you're able to use them as you continue your time management journey. Thanks for reading this article, and as always, happy scheduling.
