Discover Cal.com’s advanced settings

Cal.com is more than just a calendar scheduling product; it's where people meet. Our infrastructure makes identifying mutually available time slots easy for organizations and individuals. Resources can be redirected from rote tasks related to appointment booking to meaningful collaboration.

Cal.com users can access a wide range of customization options. Technically inclined individuals can access our codebase on GitHub or integrate our product within their ecosystem via our API. However, we also offer options for no-code customization that are friendly to the everyday user. These account holders can tailor their calendar schedule environment either by adding integrations through our app store or by accessing individual event-level settings.

Event Settings: The Advanced Tab

Most of the features accessed this way are found in the Advanced subsection of these settings. This article aims to provide people who have yet to create a Cal.com account with an idea of the capabilities found in our product.

Dropdown field: Add to Calendar

The "Add to Calendar" field allows you to specify exactly where your bookings are. You can use this field to change the calendar where your appointments are added. Here's an example: let's say that you've connected three calendars to your Cal.com account. These calendars are Outlook, Apple Calendar, and Google Calendar. You would use this setting to specify the exact calendar you want bookings added to. Each event can even be added to a different calendar if desired.

The "Event Name in Calendar" allows you to specify how bookings appear when viewed within your calendar of choice (such as Outlook, Apple, or Google). You can change the information displayed by adding and removing variables like meeting location, organizer, and attendee name. The "Booking Questions" section lets you specify the type of information you require from prospective meeting attendees. This information can be tailored to reflect the industry you're working within or the event type for which this meeting is. An example would be a literary agent adding a booking question related to the number of books an author has previously self-published. Toggle: Requires Confirmation

Enabling the "Requires Confirmation" setting helps to ensure that meetings are only booked with your say-so. Cal.com always double-checks your availability schedule and connected calendars before offering meeting slots. However, if you want to ensure that you don't have any surprises, shifting this toggle to the "on" position will take care of that. Once you've enabled this feature, anytime someone makes a booking, you'll receive an email asking you to confirm the meeting. This means that our system will only notify prospective guests that the meeting has been booked with your express approval.

Toggle: Hide Notes in Calendar

This setting allows you to protect the privacy of your guests. This is especially useful if you're working in an environment where bookings are added to the organization's team calendar instead of your personal calendar. You'll still receive relevant notes from the booking directly in your email, ensuring you have all the information you need to prepare for your upcoming meeting.

Toggle: Redirect on Booking

This feature allows you to specify a specific web page or link to which you'd like respective bookers to end up after they finish placing the request for a meeting. This makes it easy to digitally escort website visitors and ensure they end up at the most appropriate location after submitting their meeting request. Toggle: Generate Private Link

Every Cal.com booking has its own URL, and enabling this feature adds an extra layer of anonymity to that URL. Basically, you can share your Cal.com booking without exposing your username. Each time the private link is used, it will be regenerated, and a new private link will be created. This means that if someone has previously been given a private link, they won't be able to use that same one to make a new booking with you or pass it on to unknown third parties. Toggle: Offer Seats

The "Offer Seats" feature allows you to create bookings suited to group events with unlimited capacity. This can be used for everything from employee orientations to professional training sessions and open houses. For example, if you created an event available once every 4 hours for four people, you would specify the number of seats available as four. This helps to ensure that events are only booked to capacity and not over it. To learn more about this feature, please check out this blog post.

How to Sign Up for a Cal.com Account:

  • Visit Cal.com to see what we're all about.

  • From there, check out our plans to see which is best for you.

  • Next, hit the sign-up button.

  • Then, choose a username and enter an email address.

  • Remember to create a password and then click the sign-up button.

  • Alternatively, you can also create an account using SAML SSO or Google.

  • Next, enter your full name and select your primary time zone.

  • Select the black button labeled "Next."

  • Choose the calendars you would like to connect with.

  • Next, set your default availability schedule.

  • Then, upload a profile picture and some bio text.

  • Next, click the finish button.

  • Finally, create some bookable events and share your meeting link.
