Why Aren’t My Bookings Showing Up? A Quick Fix Guide

We know that sometimes when using a product, there can be obstacles. You might not know where to find a feature, or something just might not be working the way you expect it to. This article is part of our troubleshooting series. It's designed to help you solve one of the most common challenges customers face.

Why aren't my bookings showing up?

It's really annoying when things aren't where they're supposed to be. It doesn't matter if it's a pen or a cup of coffee. This could be extra inconvenient when the thing that appears to be missing is an eagerly anticipated appointment request.

Luckily, this is an easy problem to solve. It's just a question of knowing where to look, which is exactly what we're going to help you do.

Let's start by checking our calendar connections

Cal.com allows multiple calendar connections. Having said that, sometimes a calendar can become disconnected. When this happens, it means that your bookings might end up on a different calendar from the one you expected. If this isn't a calendar you regularly check, it means you won't necessarily see your booking.

You can access your calendar connections by selecting your account settings, choosing calendars, and then selecting calendars again. This will take you to your calendar dashboard. From your calendar dashboard, you can see:

  1. All of the calendars that are currently connected.

  2. The default calendar that your appointments are added to.

  3. The calendar conflict checker.

If it looks like a calendar is missing from your calendar connections, or the default calendar isn't what it's supposed to be, this is the place where you can fix those things.

Let's check a few more things

Sometimes the problem isn't in our calendar dashboard; sometimes it's an event-level issue. Luckily, this can be solved by checking our event-level settings. Remember, each one of your events has a different set of event-level settings. The only exception to this is if you're using managed events that have been assigned to you by a team administrator. If this is the case and you notice something is wrong, you're going to want to contact them.

Now let's cover the areas within our event-level settings that might just help to fix our little issue of misplaced bookings.

The first thing to do is to take a look at the calendar connected to your event. If this event isn't adding bookings to your default calendar or a calendar you commonly use, that is probably the issue.

It's easy to fix this by simply using the calendar drop-down menu to choose the correct calendar that you want your appointments added to and then saving your changes.

The next thing we have to check is the "Requires Confirmation" setting. This can be found on the advanced tab of your event-level settings. If you enabled this setting, it means that no bookings will be added to your schedule until you approve them.

It's easy to approve events. All you have to do is go to your booking dashboard. Once you're there, select the unconfirmed tab. Here is where you'll see all the pending events that need to be approved so they can be added to your schedule.

Shouldn't I get an email whenever an appointment is requested?

We all know that email is imperfect. Sometimes things end up in spam folders when they shouldn't. If you set up the required confirmation setting and you're not getting emails informing you that new people are requesting meetings, it means that you might need to whitelist Cal.com. Doing this will help to reduce the likelihood that meeting requests end up in the wrong folder.
