Streamline Your Schedule with Cal.com: 5 Essential Features for Tutors and Educational Organizations

Calendar scheduling infrastructure that works with you

When it comes to the world of online scheduling and appointment setting, we all have different needs. Cal.com is a platform that's uniquely suited to meet the requirements of educational professionals like tutors and other practitioners working within the academic support sector. The reason why Cal.com can achieve this is because it's open source. Even if you're someone who’d rather not tangle with code, you can still benefit from the quick evolution of our product. Our constantly growing community provides data and feedback that allows Cal.com to gain meaningful insights that allow it to continually improve its offerings. Cal.com users have access to everything from custom availability schedules to CRM software, and teleconferencing integrations via our app store. Additionally all users can take advantage of our automated workflows in order to manage appointment notifications. This means that educational professionals like tutors can use Cal.com to manage everything from payments to lessons and client onboarding.

In this article, we're going to cover five of the most useful features that Cal.com offers tutors and other educational professionals.

Booking Questions

Cal.com booking questions can be accessed via your event-level settings. You can use our default ones, or you can customize them and add your own. When you add booking questions, you have the option of marking a question as mandatory or optional. Optional questions are visible to the potential client, but they can still submit the booking even if they don't answer them. On the other hand, if you mark a question as mandatory, then they have to answer it in order to proceed with the booking. These booking questions allow you to gain key insights and data points that you need in order to prepare for everything from a one-off meeting like a parental onboarding session to a recurring event, such as those that would occur with a student.

Multiple Availability Schedules

All Cal.com accounts allow you to make as many event types and calendar connections as you need. In addition, you can also make different availability schedules to sync with each bookable event type. What this means is that you can create separate availability schedules that can be referenced for tutoring event types targeted at different age groups. For example, you could have one availability schedule for elementary students and another for high schoolers.

No Show Fees

Cal.com facilitates payments via Stripe. However, in addition to setting things up so that clients can pay at the point of booking, Cal.com also has options for no-show fees. These are fees you can specify to have charged if clients don't follow the proper cancellation protocol. An example of this would be if a client was supposed to show up to a tutoring session but didn't, and didn't communicate that they wouldn't be available. In this case, a no-show fee would be applied in order to protect your time.

Recurring Events

Cal.com offers recurring events. What this means is that if a parent would like to book a set of tutoring sessions for their child instead of having to do it one at a time, they can simply book one recurring session. When you set up your event so that it's recurring, you can choose how often it occurs and for how long. This means that you can specify that the repeatable event occurs on a weekly or bi-weekly basis and continues for a period of 5 weeks. One thing to keep in mind, however, when using the recurring feature is that it is not at this time compatible with Cal.com's one-click rescheduling feature.

Round Robin Scheduling

Cal.com's round robin scheduling tool is ideal for a tutoring business with more than one employee. The round robin feature allows an administrator to automatically set up a system that will assign bookings automatically based on the profile and availability of team members. This is a great way of increasing the impact of your business by automatically and efficiently dispersing duties.

Cal.com is a game-changing platform for tutors and educational professionals, providing a suite of tools tailored to the unique needs of the education sector. From customizable booking questions to efficient no-show fee management, multiple scheduling options, recurring events, and round-robin scheduling, Cal.com empowers educators to manage their schedules with ease and efficiency. The platform's open-source nature and engaged community further enhance its ability to adapt and evolve to meet the changing demands of its users. Whether you're an individual tutor or running a larger educational business, Cal.com offers the flexibility and features to make your operations smooth and successful.
